Who We Are
Founded in 1990, VCC is a land trust and growing nonprofit committed to protecting open space and natural resources in 11 counties within the greater Shenandoah Valley region of Virginia. Throughout its history, VCC has helped to protect tens of thousands of acres of farmland, forests, open spaces, and historic landmarks, implementing conservation easements and other land conservation tools. VCC’s service area includes the headwaters of both the James and Potomac rivers including the incomparable Allegheny Highlands. Position Description
The Office Administrator will report to the Executive Director but is expected to be a self-starter and capable of managing projects/tasks independently. Ideal candidates are resourceful, conscientious professionals who don’t mind wearing multiple hats and like rolling up their sleeves to get work done. They must be committed to VCC’s mission and be excited about engaging with individuals and partners about land preservation in the Shenandoah Valley. The Office Administrator will not manage staff but will have substantial interaction with VCC’s Board of Directors, various committees, and volunteers. This is a part-time position (15 – 20 hours per week) but is expected to grow into a full-time position.

Responsibilities:

Outreach & Fundraising

  • Enter and manage donor data
  • Help create and send prompt and engaging thank you letters and ensure a strong culture of appreciation
  • Assist in preparing informative fundraising reports, including individual donor reports and annual comprehensive analysis of donor trends
  • Execute annual giving and membership appeals, mass mailings, and recognitions
  • Support preparation and distribution of print and digital communications, including the Annual Report, newsletters, eNews, fact sheets/brochures, and social media
  • Maintain website content, including coordination with web developer consultant
  • Solicit photo contributions and maintain VCC’s photo database
  • Maintain VCC’s outreach materials, and displays
  • Support planning and execution of fundraising and community events, including VCC’s Annual Meeting, Kites and Critters event, and other events
  • Participate in preparing grant applications and reports

Organizational administration

  • Organize and manage VCC’s files and records, including digital and hard-copy files
  • Prepare expense documentation, support annual financial audit, manage accounts payable and
    accounts receivable, and support VCC’s bookkeeping service as requested
  • Back-up digital records
  • Evaluate and purchase office equipment, securing quotes from vendors as necessary
  • Maintain VCC’s administrative calendar, ensuring all requirements and deadlines are met
  • Answer phone, emails, and manage incoming mail
  • Keep office organized and professional in appearance
  • Prepare bank deposits and manage VCC’s bank accounts
  • Assist Executive Director in implementing all Land Trust Alliance Standards and Practices
  • Support preparation for board and committee meetings; support volunteer management

While this description is a fair representation of the Office Administrator position, there may be additional related responsibilities.

Qualifications

  • Bachelor’s degree and relevant professional working experience (additional professional work experience may be considered in lieu of a Bachelor’s degree)
  • Superior organizational skills with ability to project manage/prioritize to meet deadlines
  • Excellent skills with Microsoft Office (Word, Excel, Powerpoint, etc), Google Drive, and database management (e.g., Little Green Light; Mail Chimp). Desktop publishing software (Adobe, In- design, etc) is not required, but is a plus
  • Excellent writing, editing, and verbal communication skills
  • Events management experience
  • Conservation, environmental, or agriculture experience is not required, but is a plus
  • Knowledge of and connections with the Shenandoah Valley is not required, but is a plus

Working Environment

  • Primarily office-based work (Staunton, VA)
  • Flexible work arrangements available but must be able to come into office approximately 50% of work time (15 – 20 hours per week) when COVID-19 self-distancing concerns have passed
  • Occasional evening and weekend events
  • Occasional automobile travel within Shenandoah Valley
  • Must have own vehicle and valid driver’s license (mileage will be reimbursed

Compensation

  • Starting salary between $15,000 – $20,000 commensurate with experience (or $15 – $20 per hour)
